Title: Crew Scheduling Officer

Reports to: Crew Scheduling Manager

Department: Network Operation Control

Job purpose

Reporting to the Crew Scheduling Manager, the position will be primarily responsible for-

• To fully assist the Crew Scheduling department in managing published Flight Deck and Cabin Crew rosters.
• Ensure crew rosters remain legal in accordance with GCAA CARS sub part Q and Chapter 7 of Manual A.

Job outline

• To make on a 72hour basis short term plans to obtain optimum utilization of manpower within GCAA rules and Flydubai company policies.
• To ensure all Flydubai flights departing DXB base station are crewed by Flight and Cabin Crew Personnel to the standard manning levels as stipulated by In-flight Service Department.
• To receive and action message regarding Flight Schedule changes, update and amend crew pattern via Aviant.
• To administer all messages with regard to Schedule changes due to marketing and /or operational requirements for the current published rosters, develop revised crew patterns and enter changes in Aviant.
• To assign Flight Crew duties ensuring all crew comply with GCAA mandatory legalities and Flydubai company requirements. This includes the areas of Flight Crew Training.
• To ensure all Flight Crew are carefully managed in respect of duty hours, decide and evaluate through careful judgment of duty time, the best pilots to assign trips to.
• To monitor and action sickness, and no shows and produce daily sickness and no show reports for the Crew Scheduling management.

Qualifications

• Education to ‘A’ level or equivalent

Experience

• Minimum 4 years experience in Flight / Cabin Crew Scheduling with a reputable airline.
• Knowledge of airline operations; and computerized crewing systems, preferably Aviant Crew Tracking System.
• In-depth understanding of complex regulatory requirements in relation to crew planning and scheduling is essential.
• Ability to communicate effectively in both written and spoken English.

Title: Crew Planning Officer

Reports to: Crew Scheduling Manager

Department: Network Operation Control

Job purpose

Reporting to the Crew Scheduling Manager, the position will be primarily responsible for-

• The production of Flight and Cabin crew rosters 10 days prior to implementation.
• The rosters must be produced from the available manpower and after taking into consideration the training program, leave profile, crew members qualifications, standby coverage, flying schedule and in  accordance with GCAA CARS sub part Q and Chapter 7 of Manual A.
• Projection and forecast manpower

Job outline

• Manage the roster production process to ensure that all flights are covered and all legalities achieved within the time lines required.
• The rosters must be produced from the available manpower and after taking into consideration the training program, leave profile, crew members qualifications, standby coverage,
• Create multidimensional solutions in order to overcome manpower constraints.
• When producing rosters special consideration should be taken of the following;
• Be fair in allocation of duties, where possible giving equal distribution of workload and time off.
• Be consistent in the production of crew members rosters; provide individual crew members with stable roster as far as are practicable.
• Liaise with Crew Control on a regular basis where rosters may affect the operation, where training matters will impact the roster.
• The planning of crews plays a vital and crucial role with the meeting of corporate objectives. Innovative solutions are required to the problems of capacity constraints and regulatory compliance.
• Failure to correctly factor all of the above elements could result in crew shortages, which then directly impacts both pilots and the commercial program.

Qualifications

• Education to ‘A’ level or equivalent

Experience

• Minimum 4 years experience in Flight / Cabin Crew Planning / Training, Scheduling with a reputable airline.
• Knowledge of airline operations; and computerized crewing systems, preferably Aviant Crew Tracking System.
• Thorough and In-depth understanding of airline operations, rostering practices, manpower planning, resource management CAP-371 and CAR-OPS.
• Ability to communicate effectively in both written and spoken English.

Title: Insurance Officer / Superintendent

Reports to: Chief Financial Officer

Department: Finance

Job purpose

• Secure and manage the aviation and non-aviation global risks and exposures of the Company through cost
• Effective techniques of insurance, risk management and claims recovery.

Job outline

• Formulate and recommend corporate policies on all matters relating to insurance.
• Identify and evaluate the Company’s system wide risks and exposures arising from aircraft, legal liabilities, political risks, assets, personnel, e-commerce and all other related exposures – with a view to securing the same.
• Negotiate and secure all contracts of insurance.
• Negotiate insurance provisions in all Contracts – with a view to securing the best interest of the Company with contracting parties concerned.
• Evaluate (in consultation with Legal) the impact of international legal conventions, protocols, national legislation, acts and statutes on the exposures of the Group – with a view to securing the same through cost effective insurance.
• Effectively investigation, control, and negotiate recovery of all claims with underwriters, brokers, surveyors, loss adjustors, solicitors, third party carriers.
• Formulate and regularly update departmental crisis management plan – with a view to ensuring pro-active involvement in the event of a major disaster involving Company assets or personnel.

Qualifications

• Business Graduate with additional legal or insurance qualifications

Experience

• Minimum 7 years experience in managing a global insurance portfolio for a medium to large Corporate – preferably an airline

Title: Public Relation Officer (PRO)

Reports to: Head of HR

Department: Human Resources

Job purpose

To process all employment visas and work permits in a timely manner while ensuring that all cost saving measures are adopted and the best possible services is provided to new joiners and existing employees.

Liaise and maintain good relationships with important personnel in Government Departments and regularly query on any changes in polices & procedures ensuring that the company keeps abreast with the changes and proactive measures are taken to avoid disruption or delay in services.

Regularly update the Head of HR on the changes in order for them to update the Leadership team.

Job outline

The job holder is required to be on call round the clock to deal with any emergencies.

• Proactively identify, develop and recommend business initiatives and process improvements on flydubai local affairs policies and procedures, ensuring employees receive the best service through effective ways of service delivery.
• Plan and manage the safe keeping and transportation of passports for all employees.
• Manage and organize the medical examinations and government blood test for new joiners and existing employees to ensure timely visa stamping, renewal and other joining formalities.
• Create identity cards, Company letters (salary & service) for employees to get required documents for local matters.
• Liaise with the DCA, Airport Police, and CID for the processing of Airport pass for employees and ensure the passes are made available within the agreed time frame.
• Manage and arrange all procedures related to emergency situation, such as death and accident cases, on a 24/7 bases.  Work very closely with the relevant local authorities in order to provide relief to the affected employees/relatives.
• Manage, plan and control all kinds of visas with Immigration to support the operation, for example organize the processing of duty travel visas, visit visa, visa endorsement, renewal, transfer, cancellation etc through the relevant Embassies/Consulates to ensure timely and convenient duty travel for employees.

Coordinate and ensure Policy, Procedures & Processes are understood and applied with consistency while processing transactions and other changes recommended/approved by HR or the business.

Coordinate and deliver a wide range of monetary, non-monetary and other administrative services and provide the best customer service to employees/the business with the up most quality.

Responsible for ensuring daily/monthly transactional activities are executed/processed within the stipulated time frame/service level agreement as per company policies and procedures with a thorough knowledge of HR Systems and processes.

Continuously recommend improve processes to deliver the best services to meet the business requirements.

Investigate and handle and follow-up on all customer complaints/queries on various transactions, systems related issues, documentation etc. and provide prompt, efficient service and independently resolve any issues in liaison with the HR department.

Ensure accurate data input and reconcile costs with Bank Statements.

Ensure all systems and reports are updated in a timely manner with upmost accuracy.

Experience

• 12 Years schooling or equivalent
• Total of 5 years PRO experience, with a minimum of 3 years in the UAE
• Working knowledge of the country legislation, policies, rules and regulations
• Excellent PC skills and exposure to systems are required
• Good negotiating and persuasive abilities
• Strong interpersonal skills and a cultural sensitivity to the local community would be critical for this role
• Good administration skills
